Streamline Check-in with Incidentals Coverage

One of the biggest hassles in business travel is the need for a hotel guest to put down a personal credit card at check-in to cover incidentals — even if the reservation has already been paid for with a company card.

But there's good news: We’re solving this problem with our newly expanded Incidentals Coverage program.

Previously available only to Direct Bill users, Incidentals Coverage is now available to more Hotel Engine members! When you sign up, you’ll be extended a line of credit from Hotel Engine that can be used to cover incidentals at hotels. Incidentals Coverage can be added to any reservation for a small fee.

At check-in, we'll cover the cost of incidentals such as deposits, resort fees, parking fees, and more. Once we've verified the accuracy of each charge on each room, you’ll get an itemized invoice to pay off all the incidental charges from that period at once.

With our coverage, managing incidentals is simple and streamlined for admins and travelers alike. Travelers don’t have to worry about bringing credit cards or having their personal funds blocked by credit holds — and companies don’t have to process piles of reimbursement paperwork.

To apply, click the Request Access button at the top of the page. Your application will process on the spot — approval typically takes 5-15 minutes. If approved, you’ll be sent a payment terms agreement to sign. You’ll then receive a confirmation email, and your company will be extended a line of credit that you can use to cover incidentals.

After you’re approved, you can choose which travelers on your team should have access to Incidentals Coverage by establishing travel policies. Travel policies can be established for each individual, team or company-wide, and Incidentals Coverage can be set as Required, Optional, or blocked for each user.

When the coverage is set as Optional, your users will see Incidentals Coverage during checkout, and have the option to add it to each reservation.
